    Volunteer Needs for Swim Meets

    Volunteer Shift Requirement

    Our season’s success depends on parental support. To complete your registration, you must agree to the following work requirements:

    • Standard Commitment: Each family is required to volunteer for 3 shifts (includes home meets, away meets, and SSA Championships).
    • 6 & Under Families: If your family only has swimmers in the “6 and under” category, your requirement is reduced to 1 shift.
    • Dive Team Families: Requirement includes 1 meet/session, plus at least 1 session at SSA Championships if your child is competing. This is in addition to Swim meet requirements.
    • Non-Competitive Swimmers: If your athlete does not plan to participate in meets, please contact the Swim Coordinator directly to arrange an alternative volunteer plan.

    Missed Shift Policy: A fee of $50 per one unfulfilled shift, $100 for two unfulfilled shifts, $150 for three unfulfilled shifts will be charged. This balance must be paid by the end of the season. If you fail to pay or if you miss three shifts, your will have one year ban from the swim & dive teams.

    Our events require a lot of support from our families: many hands make light work! Tips: older Children (16+) can help volunteer or you and your spouse can “split” the meet.

    Role Responsibilities
    Official

    Watch strokes, starts and turns to ensure swimmers are following stroke, start, and turn rules. The goal of officiating is to make sure swimmers are not getting an unfair advantage over other swimmers, while keeping in mind that this is a summer swim league. These positions are only available to people who have had Officials Training. Officials should arrive at the meet by 5:45.

    Timer

    Start the stop watch at the start of the event, stop the stop watch at the finish. Record the time. You will be working in groups of 2-3 per lane and you have one of the best views for the meet! You will be assigned to a particular lane for the evening. There is a timers’ meeting at the beginning of the evening to pass out stop watches and assign lanes. Timers should arrive at the meet by 5:45. The timer’s meeting will be held around 6:00.

    Lane Parent

    Ensures that the swimmers are in their proper lane and in their proper order. The lane parents are behind the starting blocks assigned to the WHSC swimmers. This position is only for the 10 & Under age groups. There is a break for the older swimmer events. This is a position that has a great view of the swimming events!

    Please arrive at the meet by 5:45. The Lane Parent meeting will be held around 6:00..
    Scorer Work with the computer operator to read and record times during home meets.
    Runner/Hospitality Collect timing and DQ slips every three events and deliver them to the swim office. Distribute water and drinks to officials, timers, and volunteers throughout the meet.
    Grill Helper/Cashier Process payments for grill items and return the cash box to the office. May be asked to assist with grill operations as needed. 
    Bake Sale Manage bake sale transactions and return the cash box after the event.
    Home Meet Ribbons Apply labels to ribbons and sort them by club for pickup. Must be completed the night of the meet.
    Away Meet Ribbons Sort and file ribbons into family boxes the morning after a meet. Must be done by 10:00 AM the morning after a meet.
    Parking Attendant Direct traffic in the parking lot. Requires a 5:00 PM arrival.

    Please Note: Some of these volunteer positions are more critical than others. In the event that we lack volunteers in critical areas, such as timers, you may be requested to change tasks to fill a need.
